Sterling Foundation Management is hiring a reliable, driven, high-performing Client Services Manager to join its team at its corporate headquarters in Reston, Virginia.  The in-office position will directly support the Foundation Management and Consulting line of business. Specific industry experience or knowledge is not required but is preferred.  Project management experience and proficiency with Microsoft Office suite of programs is a must.

The Client Services Manager must have a client-service orientation and be passionate about meeting the needs of our clients in a proactive manner. The right person for this job must be optimistic in nature, high-energy, self-sufficient, and driven to provide stellar, personalized service to each and every client they engage.  This position is primarily responsible for overseeing and managing philanthropic projects in compliance with legal and administrative compliance requirements.  The competitive candidate will possess outstanding interpersonal skills, attention to detail, judgement, integrity, and self-motivation required to ensure that Sterling meets or exceeds the high expectations we have for client support.  Being highly organized and process oriented will be key to success in this position.  This is a hands-on position that requires engaging and supporting clients through one-on-one office visits, phone calls, and emails.

The successful candidate will be a natural problem solver, possesses high standards, and is naturally curious in their drive to get better, and will ultimately make those around him/her better.  Strong work ethic and critical thinking are key requirements for the position.  An interest in wealth management, tax strategies, and philanthropy is a plus.

Responsibilities include, but are not limited to: 

  • Assisting clients achieve their goals and the goals of their charitable organizations
  • Providing high-quality, reliable client services and maintaining world-class client relations
  • Assisting clients manage their charitable organizations’ programs and projects that result in high quality, cost effective outcomes
  • Maintaining client and company confidentiality
  • Overseeing preparation and filing of organizational annual reports and board meeting minutes to state authorities
  • Conducting research and coordinating grant agreements for large scale grants to charitable organizations that help achieve the impact the client desires to make
  • Conducting due diligence for grant requests, paying grants, and updating company’s grant database
  • Detailed data entry and database management ensuring all information is accurately recorded in company databases
  • Conducting administrative tasks that ensure clients’ charitable organizations remain compliant with all federal and state laws, regulations, and policies
  • Overseeing complex grant programs and serving as the project lead and liaison for the client and grantee organizations
  • Managing multiple tasks for various clients simultaneously and prioritizing and completing tasks in a timely manner
  • Record keeping/document management and organization
  • Limited travel may be required to client sites
  • Oversee other duties as may reasonably be required from time to time

Qualifications:

  • Bachelor's degree preferred
  • Previous experience in management consulting, accounting, paralegal, business, or related area a plus
  • Presence and poise to communicate with clients, attorneys, accountants, and financial advisors
  • Expert at listening to clients and determining their needs or “pain points”
  • Demonstrated ability to exercise initiative and lead projects to successful conclusion
  • Proven ability to gain confidence of supervisors to work autonomously and ethically and in the best interest of clients and the company
  • Strong analytical skills. Must be data-driven with a high degree of attention to detail
  • Ability to thrive in sometimes ambiguous, small office environment; highly self-motivated
  • Exceptional listening, verbal, and written communication skills
  • A selfless team player with the confidence to lead with quiet humility
  • A professional demeanor to engage with sophisticated clients and partners
  • Interpersonal skills to communicate with clients from all walks of life, from all parts of the country
  • Proficiency in MS Office programs (Excel, Word, and PowerPoint)

The Administrative Project Manager must have exceptional organizational skills, keen attention to detail, and be passionate about meeting the needs of our clients in an accurate and timely manner.  The right person for this job must be optimistic in nature, high-energy, self-sufficient, and driven to manage multiple tasks and projects simultaneously.  This position is primarily responsible for managing the daily administrative functions of our foundations and consulting line of business.  The competitive candidate will possess outstanding interpersonal skills, attention to detail, judgement, integrity, and self-motivation required to ensure that Sterling meets or exceeds the high expectations we have for client support.  Being highly organized, self-disciplined, committed, and process oriented will be key to success in this position.  This is a hands-on position that requires engaging and supporting various client service teams to ensure efficient operations.

Responsibilities include, but are not limited to:

  • Assisting client service teams with executing grant due diligence, grant disbursements, grant closeout, and updating the company’s grant database throughout the process
  • Tracking all incoming donations, entering data into company databases, and sending year-end tax receipt letters
  • Reviewing and entering bank statement asset values into company databases on a monthly basis
  • Detailed data entry and database management ensuring all information is accurately recorded in company databases
  • Overseeing preparation and filing of organizational annual reports to state authorities and drafting, processing, and maintaining board meeting minutes
  • Lead and/or manage the invoicing process and ensure each client service team receives an accurate and timely invoice each quarter
  • Manage and continuously look to improve key processes to increase accuracy, speed, and reduce any redundancy or waste
  • Develop and manage a task workflow for the team to have visibility and track the status of all tasks/projects
  • Managing multiple tasks for various clients simultaneously and prioritizing and completing tasks in a timely manner
  • Record keeping/document management and organization
  • Maintaining client and company confidentiality
  • Conducting administrative tasks that ensure clients’ charitable organizations remain compliant with all federal and state laws, regulations, and policies
  • Oversee other duties as may reasonably be required from time to time
